Minutes for the San Antonio Village Owners’ Association Board of Directors
Monthly Meeting on Wednesday January 17, 2024
The meeting was called to order by President Dawn Lucian at 7:00pm. Other board members present were Diane Kirchner (Vice President), Mike Porter (Treasurer), Cindy Capra (Secretary). Also present were Daniel Ortiz (Manager) and 6 residents.
1. Approval of Minutes: Mike Porter made a motion and Dawn Lucian seconded to approve minutes of prior meeting held on November 15, 2023.
2. Treasurer’s Financial Report as of 12/31/2023:
a. Currently the village is half way through the fiscal year; actual to budgeted income is under by $7700 which is attributed mostly to unrealized interest income.
b. A workman’s compensation refund in December is reflected in the current month’s financial statement; administration expenses are under by $6600.
c. There has been quite a bit of carport repairs recently which is reflected in the $11k overage in maintenance.
d. Water over by $8200. Last year water budget was $157k, this year $158k. Last year we only spent $140k or so, we didn’t increase the budget much this year.
e. Overall expenses right on target for 6 months YTD.
3. Managers’ Notes for 2024:
a. Voting on next fiscal year budget will be held during the April meeting. First of June is deadline. We will have a budget workshop 1st or 2nd week in April, then vote on the budget following meeting.
b. Newsletter will be distributed 4-5 times per year.
c. Tile will be cleaned in bathroom/sauna area.
d. There will be a review and diagnosis of any potential problems with spa/pool regarding temperature expectation. Pool and spa pump area gets to 110 degrees so the burners blew up and started a fire. Had to buy new burners. The cracks around pool deck are being monitored.
e. There will be four new roofs replaced in next few months.
f. Daniel is spearheading a beautify community and entrance project with objective to make whole village look consistent and upgraded. Some Sycamores on the back side and Liquid Amber trees will be trimmed.
4. Recreation Center entryway work status: The bookend beams (middle portions) of entryway to recreation area and skylights will be removed/replaced. Roof hasn’t been replaced in near past — work will be completed sometime in February (2-3 week project). Then the recreation room will be tented.
5. Other Discussion
a. Water conservation should be in the forefront of everyone’s mind. There are owners that have not been on property for 10-15 years so some homes have continuous leaks. Homeowners encouraged to check toilets for leaking.
b. Ideas regarding replacement of toilets to low flow were discussed – mandatory, voluntary or create an incentive for homeowners to replace any old toilets to low flow. Will discuss further at next meeting.
c. Daniel would like to streamline monthly HOA assessment collection – goal would be for all homeowners to have electronic automatic payments. That would make accounting easier and cleaner. Waiting for Mechanics bank to figure out how to accept ACH.
