Minutes for the San Antonio Village Homeowners’ Association Board of Directors
Monthly Meeting on June 19, 2024

The Board meeting was called to order by President Dawn Lucian at 7:00pm. Other Board members present were Diane Kirchner (Vice President), Mike Porter (Treasurer), and Emilie Dressaire (member at large). Also present were Daniel Ortiz (Manager) and 3 Residents.

1. A motion was made by Mike Porter and seconded by Dawn Lucian to approve the prior meeting minutes held on April 17, 2024.

2. Financials
a. The fiscal year ends on June 30, 2024.
b. At the end of May 2024 our total income is $644,493 or 99.3% of the May 2024 budget plan of $648,761. A portion of the variance is due to some CD interest that will not be included in the actuals until our final June 2024 fiscal year-end report.
c. Total operating expenses are $677,413 or 100.1% of the May 2024 budget plan of $676,414.
d. Administration expenses are $240,650 or 96.8% of the May 2024 budget plan of $248,515. Workers Compensation Insurance, Professional Fees and Legal Fees are lower than plan.
e. Grounds/Landscaping expenses are $153,820 or 99.8% of the May 2024 budget plan of $154,091. Grounds Materials are higher than planned. Grounds Salaries and Irrigation are lower than planned.
f. Maintenance expenses are $122,589 or 112.2% of the May 2024 budget plan of $109,267. Maintenance Repairs Materials are higher than planned. Pest Control is lower than planned.
g. Utilities expenses are $160,353 or 97.5% of the May 2024 budget plan of $164,541. Electricity, Gas and Water are lower than planned.

3. Manager’s Notes:
a. All updates were sent out to the Residents by email in the San Antonio Village Newsletter: May/June 2024 on May 24th, 2024.
b. Daniel Ortiz suggested Residents, including Owners write reviews on San Antonio Village on Google to inform future residents and interested buyers.

4. SAV Summer Party:
a. Last year’s party gathered about 150 people. The end of summer party has been more popular than the Christmas party.
b. Attendees were satisfied with the food, beverages and shaved ice options.
c. The Board agreed on a date of September 7th, 2024 for this year’s summer party with the same arrangements as last year. The addition of beer and salad was discussed.

5. Home exterior modification guidance:
The Board discussed the external changes commonly considered or made by Residents, including screens, front doors, windows, water softeners, and AC units. It was decided that any exterior change should be approved by the Manager, who can require the submission of an Architectural Change request and seek formal Board approval (e.g. windows, front doors, skylights, etc.).

6. Additional discussions:
Most pool users are giving the Manager and Board members positive feedback on the higher pool temperature this season. The manager will use a board to remind users of common rules for pool users.
